Registration and Exhibits Specialist Reports to:
Director of Continuing Education General Purpose:
Maintains registration database for all continuing education functions, manages exhibitorsand provides clerical and administrative support to the Continuing Dental Education Department.
Through problem-solving and creating reports enhances the functionality of the membership database.
Primary Accountabilities :
Maintains database for all education functions including registration, attendance, payments, refunds and applications.
In addition, is responsible for:
Member continuing education records Manages the name badges and seminar evaluation process Administers the Certified Dental Business Professional (CDBP) program including enrollment, CE tracking and certification completion.
Responsible for collaborating with the outside contractor (Web Ascender) and internal website staff to prepare and launch online CE programs Point of contact for MDA staff regarding database functions Manages all facets of Annual Session exhibits/exhibitors including recruitment, retention, booth assignments, registration, all communication, and collections.
Serves as the point-of-contact for exhibitors at the venue.
Provides general administrative support for the department, including Drafting the ADA's Continuing Education Recognition Program (CERP) application and insuring accuracy of the ADA CERP Extended Approval applications for components Developing and maintaining files Preparing original and transcribed correspondence as directed Preparing committee minutes, meeting notices, and related documents Responsible for providing quarterly management report data Compiles and submits annual ADA CERP survey Manages Annual Session on-site registration, operations, materials and directs the work of staff and volunteers Administration of continuing dental education programs and projects, as directed by director of continuing education Promotional mailings Logistical arrangements Registration and confirmations Travel to selected events and manage all on-site operations CE tracking reports Maintains updated reports for accounting on seminar breakdowns Coordinates sponsor activities, invoicing and communication Secondary Accountabilities :
Meeting room AV technical back up to Building Manager Assists local components and internal staff with database (Aptify) skills and reporting Other assigned tasks as directed by the director of continuing education
Qualifications:
General Educational/Experiential Development Verbal and written communication skills, quantitative skills and general educational development typically associated with completion of an associate's degree in a related field or comparable work experience Specific Educational/Experiential Development Proficiency in MS Office Suite software Proficiency in database use Effective interpersonal relationship skills Advanced customer service etiquette Comments:
This position may require overtime, for example during annual session.
Overtime is at the direction of the immediate supervisor and human resources.
Approval for overtime is granted by the executive director and/or human resources.
The employee in this position must spend some time performing duties and responsibilities related to MDA subsidiary functions and activities.
The employee is required to keep track of time using the Association's uniform daily time sheet for this record keeping purpose.
